Booking Terms & Conditions

Reservation and Payment:

a. To secure a booking, a deposit or full payment, as specified by the tour, is required.

b. Payments can be made through accepted methods such as cash, credit cards, bank transfers, or online payment platforms.

c. The remaining balance is due prior to the start of the tour, as specified by the tour operator.

Cancellation and Refunds:

a. If you need to cancel your booking, you must notify us in writing. Cancellation fees may apply, based on the following schedule:

More than 30 days prior to the tour: 100% of the tour price will be refunded.

Between 15 and 30 days prior to the tour: 60% of the tour price will be refunded.

Less than 15 days prior to the tour: No refund will be provided.

b. In some cases, non-refundable fees may apply for certain services or activities included in the tour package.

c. Refunds will be processed within a reasonable timeframe, as determined by the tour operator.

Changes and Amendments:      

a. If you need to make changes to your booking, such as the tour dates, number of participants, or itinerary, you must notify us as soon as possible.

b. Changes are subject to availability and may incur additional charges or fees.

c. The tour operator reserves the right to make changes to the itinerary, accommodation, or transportation if necessary due to unforeseen circumstances. In such cases, reasonable alternatives will be provided.

Health and Safety:

a. Participants are responsible for ensuring they are in good health and physically fit to undertake the tour activities.

b. Any pre-existing medical conditions, allergies, or dietary restrictions must be disclosed to the tour operator in advance.

c. Participants must comply with all safety instructions and guidelines provided by the Virunga Ecotours during the tour.

Travel Documents and Insurance:

a. Participants are responsible for obtaining and carrying all necessary travel documents, such as passports, visas, and health certificates.

b. It is highly recommended that participants have travel insurance that covers trip cancellation, medical expenses, and personal belongings.

Liability:

a. The tour operator shall not be liable for any loss, damage, injury, or delay caused by circumstances beyond their control, including but not limited to natural disasters, political unrest, or transportation disruptions.

b. Participants are responsible for their personal belongings throughout the tour.

Conduct:

a. Participants are expected to behave responsibly and respect local customs, laws, and regulations during the tour.

b. The tour operator reserves the right to terminate the participation of any individual who engages in behavior that is disruptive, dangerous, or violates the rights of others.
